INTERLIBRARY LOAN INFORMATION

The Interlibrary Loan Department, Edith Garland Dupre Library at the University of Louisiana at Lafayette supports research and educational needs of the UL Lafayette community by providing access to information and materials not held in the Library's collections. The Department conducts all transactions in accordance with the Louisiana Interlibrary Loan Code, the National Interlibrary Loan Code, ALA Interlibrary Loan Code and U. S. Copyright regulations.

Use of this service is restricted to current faculty, staff, retirees and enrolled students of the University of Louisiana at Lafayette. Anyone having overdue library or Interlibrary Loan books or a blocked record is not eligible until the record is cleared.

Submit one request per item desired. You should complete forms with no abbreviations or initials -- a legible, complete citation will expedite the processing of your request. The American Library Association Interlibrary Loan Code requires that we supply lenders with complete and accurate descriptions. You should provide your citation source or where you found the citation. This speeds up the verification process. If found in printed material, you should note the title, volume, year, page number or whatever information is available on your request. If you used an electronic database to find your citation, please note which database as well as words used in your search so that we may duplicate your search if necessary.

Your ILL request may be delayed or cancelled when: (1) Your citation is incomplete or your request contains incorrect information. Without complete and/or accurate information, it is often difficult and/or impossible to fill a request. (2) The request has to go to many libraries before one agrees to supply the item. (3) No library is willing to supply the material. Holdings may be limited or the item may be a reference, genealogy, or special collections item and it non-circulating. (4) The material is in especially high demand, such as a current best seller or a new book. (5) The item is a textbook currently used by this university. (6) The material is especially rare, such as an archival collection, historic document, or a dissertation. (7) The material is published and primarily held in foreign countries. (8) You requested material already available at UL Lafayette. If we verify that such material is actually on the shelves, we cancel your request and notify you. If we own the material and it is not on the shelf or is in circulation, a Trace/Hold form is completed. If the Circulation Department and the Interlibrary Loan department determines you can obtain the material in a reasonable time, about 3 weeks, the request is cancelled. If it material is lost, has been recalled and a hold placed on it for another user, or the user does not return the book when asked, the material is requested. If the material you want is in circulation, you should complete a Trace/Hold form (available at the Circulation Desk) before submitting an ILL request.

You may request material by filling out paper forms available at the Reference Desk or by completing electronic forms available on line from ILLuminate, the interlibrary loan website. A member of the Reference Staff or the Interlibrary Loan Staff can assist you. The Library will notify you by e-mail, telephone, or U. S. mail when your material arrives.

When materials are not available through Interlibrary Loan, we may suggest visiting a holding library if one exists in state or selecting an alternate item that may suit your needs. The Reference Staff may assist you in finding other materials to complete your research.

  LOANS

You are responsible for all costs incurred when obtaining materials through Interlibrary Loan. Usually, there is no charge for loans. Some institutions, however, do charge. If there is a fee involved, we notify you obtaining approval before completing the transaction.

We try to fill your requests. There are some items that other institutions may not lend, including, but not limited to: new books, entire issues/volumes of journals, audiovisual materials, textbooks, rare/pre-1900 materials, maps/genealogy materials, archival/special collection materials, software/computer programs, proceedings/technical reports, microforms, and reserve/reference materials.

Loans should be returned to the Interlibrary Loan Office or the Reference Desk on or before the due date and must not be returned to the Circulation Desk or in the book drop.

Every effort should be made to use materials in the time allowed by the lending institution. A renewal is sometimes granted and is an added courtesy. It should be applied for 3 days before the due date. Renewals cannot be placed on overdue materials. Second renewals are not allowed.

All loans are subject to recall by the lending institution and should be returned immediately if recalled.

Though every attempt is made to provide you with the materials requested, sometimes we cannot find institutions willing to lend the item you need. If a request is unfilled, we continue to submit the request until the "Not Needed After Date." We may resubmit the request several times, ranging from 1 to 5 institutions per attempt. We may also resubmit the request until we have exhausted all lenders. If you have not heard from us within 3 weeks, you should call or e-mail us requesting a status check.

 Book - You must provide the title of the book and should provide the author, publisher, place, date, and edition. Providing the ISBN number, if available, expedites the completion of your request. Publisher, place/date of publication and edition helps as some books have several editions, publishers, etc. If you are willing to accept any edition, you should note that on your request. Conference proceedings and technical reports may or may not circulate dependant upon the holding institution. Organization, date, place, or any information available should be noted and will assist us in filling our request. Some books are "library use only" and must be used in the Reference Area or Louisiana Room. Conditions and terms are set by the lending library. Notify the Interlibrary Loan Department or the monitoring department when you no longer need the materials so they can be returned.

Dissertation/Thesis - You must provide the title of the dissertation and should provide the author, university, year and Dissertation Abstracts International Order No. if available. Some institutions do not loan this type of material, while others charge sometimes as much as $20 for you to borrow an item for 1 to 4 weeks. Sometimes this material is only available on microfilm. Some dissertations are available through UMI, University Microfilm Inc. For fast delivery, we can order, for you, your own copy of a dissertation by using UMI's Dissertation Express. An unbound, shrink-wrapped copy is delivered within 3-4 working days at a cost of $24.50 each. The fee must be paid before we submit the request. Please let the Interlibrary Loan Department know if you would prefer your dissertation ordered through Dissertation Express. You may choose to request the dissertation from UMI yourself. You can call them at 1-800-521-3042 or obtain an application from the Interlibrary Loan Department. They accept major credit cards.

Microform - Some institutions do not loan microfilm, microfiche, microcard, etc. When provided, all microforms are "library use only" and must be turned in daily.

Newspaper Reel - You must provide the title of the newspaper, city, state, and date(s) as well as any other available information. Sometimes several cities publish newspapers with the same title.

Other - All loans are subject to terms and conditions set by the lending institution. We make every effort to provide service in a timely, cost efficient manner. Commercial providers may be necessary sometimes and can cost.

 PHOTOCOPIES

There is always a fee for photocopies. We try to keep your cost at $.10 per page. The cost per transaction averages $3.00 to $12.00 but may run even higher. If a commercial document delivery service is used article may arrive within 24 hours to a few days. The cost for this service is much higher and averages $13.00 to $25.00 per transaction. The default max cost is $12.00 per article. If you are not willing to pay $12.00 per article, please indicate the maximum amount you are willing to pay for the transaction. If the fee is more than the maximum cost you set, we will call you for approval before completing the transaction.

Some institutions limit the number of pages the will photocopy per request, usually ranging from 5 to 50 pages. A Articles are shipped via: (1) US Postal Service, first class or library rate (2) fax, usually there if a fee for fax delivery (3) Ariel, usually there is no additional charge for this service. The service is not available at all institutions (4) or any method selected by the lending institution.

Article - You must provide the title of journal and as much information available to you. You should provide the author of the article, title of the article, volume number, issue number, date, and page numbers. Providing the ISSN number, if available expedites the completion of your request

Patent - Requests for patent must include the patent number and should include language and country. Cost per patent can average $15.00 to $20.00 but may run even higher. You are responsible for all costs incurred. If you are not willing to pay as much as $20 per patent, you may state the maximum you are willing to spend. If the fee is more than the maximum cost you have set, we will contact you for approval before completing the transaction.

 WARNING CONCERNING COPYRIGHT RESTRICTIONS

The copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material.

Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy or other reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement.

This institution reserves the right to refuse to accept a copying order if, in its judgement, fulfillment of the order would involve violation of copyright.
